Office Manager / Executive Assistant

Exemplified with our existing project, Manifesto Market, we are providing property and digital solutions for a rapidly changing retail and gastro environment. We are expanding rapidly with pipeline projects under consideration in Europe, North America and Asia. We need a core member to our international team.
Responsible for various projects around the office from the budget to the execution for example: first point of contact for IT, event production & merchandise research & orders, preparation of presentations.
Support to teams to carry out day to day tasks (HR, marketing, finance operations).
Contract management, documentation & archiving system, office improvements, crew events, internship and volunteers coordination, safety, new office scouting and moving, maintenance of management and communication tools.
Organizational & administrative assistance to CEO: scheduling appointments, arranging meetings and travel details, processing mail and other documentation.
Monitor monthly spending against office expense budget, identify areas for savings and smart spending.
Act as a face of the company in many instances, working with landlord, suppliers, phone companies, proactively negotiating with existing and new vendors.
Ensure that all processes are well described, tools, policies, contacts are stored on the server and available for other team members.
Actively participate on creating, maintaining and improving process for onboarding and off-boarding of crew members, providing access to internal management, communication tools.
May participate in meetings and take minutes of meetings.
Make sure our office space is visibly cared for: well stocked, tidy up & organized.
Ready to support miscellaneous administrative tasks.
Very well-organised and able to remain calm and clear-headed at all times.
2+ years of relevant experience.
Strong organizational, prioritization, delegation and problem-solving skills, to deal with unexpected situations, manage suppliers.
Ability to understand and improve back office processes.
Proficient in Word, Excel and PowerPoint.
Strong customer service orientations and interpersonal skills.
Demonstrate ability and temperament to work with sensitive information.
Attention to detail.
Ability to work in a fast-pace environment.
Fluent in written and spoken English and Czech is a must.
